1. Who We Are
Axe & Node ("we," "us," or "our") operates the fire department management platform available at axeandnode.com. We are based in Buffalo, New York.

2. Information We Collect
Information you provide directly
- Contact form submissions: name, email address, department name, role, and message content when you reach out through our website.
- Account information: when your department establishes an account, we collect the department name, administrator name, and email address.
- Operational data: the member records, training logs, apparatus information, certification records, incident logs, and other fire department data you enter into the platform. You own this data.
Information collected automatically
- Log data: IP address, browser type, pages visited, and timestamps when you access our website or platform.
- Cookies: we use session cookies for authentication. We do not use tracking or advertising cookies.
3. How We Use Your Information
- To respond to contact form submissions and inquiries
- To provide, operate, and maintain your department's account
- To send transactional emails (account alerts, certification expiry notices, password resets)
- To diagnose technical problems and improve the platform
- To comply with legal obligations
We do not sell your data. We do not use your data for advertising. We do not share your operational data with third parties except as described in Section 4.
4. Data Sharing
We share data only in the following circumstances:
- Service providers: we use AWS for hosting and email delivery. These providers process data on our behalf under data processing agreements and do not use your data for their own purposes.
- Legal requirements: we may disclose data if required by law, court order, or governmental authority.
- Business transfer: if Axe & Node is acquired or merges with another company, your data may transfer as part of that transaction. We will notify you before your data becomes subject to a different privacy policy.
5. Data Storage and Security
Your department's data is stored in an isolated database specific to your tenant. We use industry-standard security practices including encrypted connections (HTTPS), access controls, and audit logging. No security system is perfect — we cannot guarantee absolute security.
Data is stored on servers located in the United States.
6. Data Retention
- Operational data: retained for the duration of your subscription, plus a 90-day grace period after cancellation during which you can request an export.
- Exposure incident records: retained for a minimum of 30 years from the date of the incident, consistent with OSHA 29 CFR 1910.1020 requirements for exposure records.
- Contact form submissions: retained for up to 2 years.
- Account records: retained for 7 years after account closure for legal and accounting purposes.
7. Your Rights
You have the right to:
- Access the personal data we hold about you
- Correct inaccurate personal data
- Request deletion of your personal data (subject to retention requirements above)
- Export your department's operational data in CSV format at any time

8. Children's Privacy
Our platform is not directed at individuals under 18. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected such information, contact us and we will delete it promptly.
9. Changes to This Policy
We may update this policy as our practices change. We will notify active subscribers by email at least 30 days before material changes take effect. The effective date at the top of this page reflects the most recent version.
